What does the manufacturer example establish?
Caterpillar explains for the portable generator diagrams on its cited page that not all individual parts are serviceable at piece-part level. Where an item has no corresponding service part, its defined group-level service part is required. This is a product-specific explanation, not a claim about every industrial equipment range.
RFQ Templates is independent and is not affiliated with Caterpillar. Use the actual manufacturer, equipment serial or configuration and current service-parts information for an engineering procurement package. Do not infer availability, compatibility or lead time from a picture.
Which fields make a spare-parts request answerable?
Send the diagram revision and requested function with the callout. Ask the supplier to distinguish a reference number from an orderable part number, and to identify any replacement or supersession explicitly.
| Field | Record | Check |
|---|---|---|
| Equipment | Model, serial or configuration reference | Match the actual installed variant |
| Diagram | Revision and callout | Do not treat position as order code |
| Order item | Current supplier part number | Confirm piece or assembly |
| Inclusions | Components included in the quoted assembly | Avoid duplicate purchase lines |
| Substitution | Superseded and replacement references | Request compatibility evidence |
| Commercial return | Quantity, unit and availability response | Keep unknown lead time explicit |
How can an assembly cause duplicate ordering?
Illustrative example. A fictional diagram shows components A and B. The supplier confirms that only service assembly S is orderable and that one S includes one A and one B. A request for one S plus a separate A is not automatically evidence of a need for two A components.
The buyer clarifies whether the additional A is an intentional spare or an accidental duplicate and whether it is separately available. These invented identifiers are not actual product numbers. No quantity, compatibility or availability is recommended for a real generator.
What should be retained with the supplier response?
Keep the supplier mapping, assembly inclusion list and current compatibility evidence beside the quote. Reconcile scope after a supersession instead of replacing the old code without explanation. Link the approved purchase item to the equipment maintenance record where required.
The equipment owner and manufacturer decide maintenance suitability and permitted repair scope. This worksheet does not provide repair instructions or approve substitutions. Engineering sign-off is performed only by the registered engineer on the job.
Common questions
What else should the bid team know?
Is a diagram position always a part number?
No. Ask the supplier for the current orderable reference.
Does a depicted component prove separate availability?
No. It may only be supplied within a service assembly.
Should assembly contents be counted again as separate purchases?
Only when the approved spare requirement intentionally calls for additional separately available items.
